Managing Your Organization’s Membership
A step-by-step guide for Group Account owners — sharing access, removing members, and keeping your group up to date.
What is a Group Account?
When your organization joined NATAO, you received a Group Account. This means that as the Group Owner, you can add people from your organization — such as staff, volunteers, or board members — to your membership. Your membership level includes a set number of free logins, and additional logins can be purchased if your organization needs more.
Think of it like a family plan on a streaming service: you pay for one account, and everyone in your group gets to create their own profile to access NATAO’s resources.
GROUP OWNER
The person who purchased the membership and controls who has access.
GROUP MEMBER
Others at your organization that you add to your group. They receive full NATAO membership benefits.
MEMBER LOGINS
The number of people your membership allows. “0/2” means 0 of 2 logins are currently being used.
Quick Reference Summary
You can access your group’s management page by going to the My Account page in the upper right menu and selecting Manage Group from the My Memberships section.

Understanding the Group Management Page
Below is a breakdown the sections you’ll see on your Group Account management page and what each one does.

Viewing Your Group Members
Where to find it: The “Group Members” section at the top of the page.
This section shows everyone currently in your group. At a glance you can see:
- How many slots are filled — shown as “X/Y” (e.g., “1/2” means 1 of 2 logins are in use). This count does not include you as the Group Owner
- Each member’s name and account status
- A search bar to quickly find a specific member.
- A filter to show Active Members, Inactive Members, or all.

No members yet?
If it says “There are no members to show,” that simply means no one has been added yet. Don’t worry — the next section will walk you through how to fix that!
Inviting New Members
To add someone to your group, enter their email address on the management page and they’ll receive an invitation with instructions to get started.
1. Scroll to the “Invite New Members Via Email” section.
2. Click in the large text box labeled “Email Addresses.”
3. Type or paste the email addresses of the people you want to invite. Enter one email address per line.
4. Click the “Invite New Members” button.

What the Invited Person Will See
They’ll receive an email from NATAO inviting them to join your organization’s group. The email contains a unique link. When they click it, they’ll be taken to a sign-up page. If you had previously given them an account but later deactivated it, they may be prompted to log in first. Once they complete the process, they’ll appear in your Group Members list automatically.

Watch Your Group Members Count
Each person who joins uses one of your available logins. Once all login accounts are filled, no one else can join until a slot opens up or your purchase additional logins. Keep an eye on the Group Members count (e.g., “0/2”).
Removing a Group Member
If someone leaves your organization or should no longer have member access, you can remove them from your group directly from the Group Members section.
1. Scroll to the “Group Members” section at the top of the page.
2. Use the search bar to find the person you want to remove, or scroll through the list.
3. Check the box next to their name.
4. Click the “Bulk actions” dropdown and select Remove.
5. Click Apply.
Their login slot will be freed up immediately and will be available for someone else.

Removing Multiple Members at Once
You can check the box next to several members before selecting Remove from the Bulk Actions dropdown. This lets you remove everyone you need to in a single step instead of repeating the process one by one.
